AI Emails Always Sound Off? Give It the Recipient and the Occasion First

AI Q&A • Admin • • 2 views

When AI-written emails always sound off, it is usually not that the model lacks manners — you have not given it enough information. The same sentence should sound completely different to a boss, a client, and a colleague. Supply four pieces of information first, then let it write.

Give these four things before writing

First, who the recipient is; second, your relationship; third, the occasion; fourth, the outcome you want. Put together it becomes one sentence: “Write to the partner's project lead, our first collaboration, the occasion is chasing progress, and I want a reply this week without sounding pushy.” With that sentence, the tone falls into place.

Three occasions compared

Reporting to a boss: conclusion first, then progress, then where you need support — no long preamble. Chasing a client for payment or progress: acknowledge them first, then facts and timing, then one clear next step, avoiding blame. Asking a colleague for help: state exactly where you are stuck, what you need, and how much of their time it takes — people reply faster that way.

The final pass must be human

Before sending a formal email, read it through yourself, focusing on the greeting, time commitments, and tone words: AI tends to make “as soon as possible” sound like an ultimatum, and politeness formulas overly effusive. When the tone is off, do not just say “make it more formal” — say directly “rewrite this sentence as a request” or “cut this pleasantry”, and the edit lands accurately.
